Compare pay-per-visit HVAC tune-ups with an annual maintenance plan using your own quote prices and filter costs.

How to use our HVAC Maintenance Cost Calculator
- Enter the Number of HVAC systems, Planned visits per system, and Pay-per-visit price from your quote or invoice.
- Enter the Annual plan price and Visits included in plan for one system, not for the whole house unless the quote says it covers all systems.
- Open Advanced options if you want to include Air filter cost, Filter changes per system, Extra plan visit price, or Plan repair discount.
- Click Calculate and read What looks cheaper first, then compare Book visits yourself total with Annual plan total.
- Sanity-check the result: if the plan includes fewer visits than you plan to schedule, make sure Extra plan visit price matches the contractor's regular tune-up price.

Definitions
HVAC: Heating, ventilation, and air conditioning. In this calculator, it means the home equipment that heats or cools your space.
HVAC system: One separate heating and cooling setup. A larger home may have more than one system.
Pay-per-visit price: The price for one regular maintenance tune-up when you do not buy a yearly plan.
Annual plan price: The yearly maintenance plan or membership price for one HVAC system.
Visits included in plan: The number of regular tune-ups covered by the plan price for each system.
Plan repair discount: A percent discount that the plan may apply to repair labor, repair parts, or both, depending on the contractor's service list.
Break-even repair spending: The amount of discounted repair work needed before a higher-priced plan is made up by its repair discount.
Common mistakes and quick fixes
Mistake: Entering the total home price in Annual plan price when the quote is per system.
Fix: Use the Annual plan price for one HVAC system, then set Number of HVAC systems to the count in your home.
Mistake: Putting emergency repair pricing in Pay-per-visit price.
Fix: Use the regular tune-up price for Pay-per-visit price, because repair costs are not part of the main yearly maintenance totals.
Mistake: Counting paid add-on visits as Visits included in plan.
Fix: Enter only no-extra-charge visits in Visits included in plan, and put the add-on price in Extra plan visit price.
Mistake: Leaving Air filter cost or Filter changes per system at defaults when your filter size or schedule is different.
Fix: Enter your real filter price in Air filter cost and your expected yearly count in Filter changes per system.
Mistake: Entering Plan repair discount as 0 when the plan quote lists a discount.
Fix: Put the quoted percent in Plan repair discount so the break-even repair spending check can show whether the discount could offset a higher plan price.
Limitations & Key Assumptions / Boundary Conditions
- The calculator uses your entered quote prices. It does not use a national average because local labor rates, system type, and contractor pricing can differ.
- Repair costs are not included in Book visits yourself total or Annual plan total. The repair discount is used only for the break-even check.
- Filter cost is included in both options because filters are usually needed whether you buy a plan or book visits yourself.
- The Annual plan price is treated as a per-system price. If your quote covers the whole home, divide it by Number of HVAC systems before entering it.
- The comparison is cost-only. It does not score service quality, response time, warranty paperwork, priority scheduling, or what tasks are included in the visit.
- Extra plan visit cost is floored at 0 when Visits included in plan is greater than Planned visits per system, so extra included visits do not create negative cost.
Methodology
Cost formulas
The calculator first estimates filter supplies, then compares paying for each planned tune-up with buying the annual plan.
filter_supply_total = system_count * filter_cost_each * filter_changes_per_system_per_year
pay_per_visit_total = system_count * visits_per_system_per_year * pay_per_visit_cost + filter_supply_total
plan_extra_visit_total = system_count * max(0, visits_per_system_per_year - plan_visits_included) * extra_plan_visit_cost
plan_total = system_count * plan_price_per_system + plan_extra_visit_total + filter_supply_total
best_choice_cost = min(pay_per_visit_total, plan_total)
yearly_savings = abs(pay_per_visit_total - plan_total)
If the pay-per-visit total is lower, What looks cheaper is Book visits yourself. If the plan total is lower, What looks cheaper is Annual plan. If both totals match, the result is Tie.
Break-even repair discount check
When the annual plan costs more than booking visits yourself and Plan repair discount is greater than 0 percent, the calculator estimates how much discounted repair spending would be needed for the discount to make up the difference.
break_even_repair_spend = (plan_total - pay_per_visit_total) / (plan_repair_discount_percent / 100)
If the annual plan is already cheaper, tied, or has a 0 percent repair discount, the break-even repair spending value is 0 because no discount catch-up is needed or no discount was entered.
Mini example
Suppose you have 1 HVAC system, plan 2 visits per year, pay-per-visit service costs $150, the plan costs $350 per system, and the plan includes 2 visits. If filters cost $20 each and you change them 4 times per year, filter cost is 1 * $20 * 4 = $80.
The book-it-yourself total is 1 * 2 * $150 + $80 = $380. The plan total is 1 * $350 + $0 extra visits + $80 = $430. Booking visits yourself is lower by $50. With a 10 percent repair discount, the plan would need $50 / 0.10 = $500 of discounted repair spending to break even.
