How to use our Break-Even Rent Calculator
- Enter Expected rent, Mortgage principal and interest, Taxes and insurance, and Other monthly costs not listed below as monthly dollar amounts.
- Enter Expected vacancy as the percent of scheduled rent you expect not to collect because the property is empty or unpaid.
- Open Advanced options if you want to add HOA dues, Maintenance reserve, Owner-paid utilities, Fixed management fee, Management fee, or Target monthly cushion.
- Click Calculate and read Monthly rent needed to break even first, then compare it with Cash flow at your expected rent.
- Sanity-check the answer by reviewing Monthly costs included before vacancy and percent fees and Itemized optional costs included; a missed cost can make the needed rent too low.

Definitions
Expected rent: The scheduled monthly rent before subtracting vacancy or percent-based management fees.
Mortgage principal and interest: The loan payment part that repays borrowed money and interest. It should not include taxes or insurance here.
Taxes and insurance: The monthly share of property tax and landlord insurance costs.
Expected vacancy: The percent of scheduled rent you expect not to collect because the property is empty or unpaid.
Management fee: A property management charge based on a percent of rent actually collected.
Effective collection rate: The percent of scheduled rent kept after vacancy and percent management fees.
Target monthly cushion: Extra monthly room you want the rent to cover above the listed costs.
Cash flow at your expected rent: Expected collected rent after vacancy and percent fees, minus the monthly costs included here.
Common mistakes and quick fixes
Mistake: Putting property tax and landlord insurance inside Mortgage principal and interest.
Fix: Put the loan payment part in Mortgage principal and interest, then put tax and insurance in Taxes and insurance.
Mistake: Using yearly numbers in Taxes and insurance, HOA dues, or Maintenance reserve.
Fix: Divide yearly costs by 12 before entering them because these fields use $ per month.
Mistake: Leaving a cost in Other monthly costs not listed below and also entering it again as Owner-paid utilities or Fixed management fee.
Fix: Count each expense once, either in Other monthly costs not listed below or in the matching Advanced options field.
Mistake: Entering Expected vacancy as months vacant instead of percent of rent.
Fix: Convert it to a percent of the year, such as 1 empty month out of 12 as about 8.33%.
Mistake: Treating Management fee as a flat dollar cost when the manager charges a percent of collected rent.
Fix: Put percent-based fees in Management fee and flat monthly fees in Fixed management fee.
Mistake: Reading a negative Cash flow at your expected rent as an error.
Fix: Negative cash flow is allowed; it means the expected rent is short by that amount after vacancy, percent fees, and listed costs.
Limitations & Key Assumptions / Boundary Conditions
- This is a landlord minimum-rent calculator, not a full rent-vs-buy decision tool.
- It uses monthly average costs. Seasonal repairs, one-time bills, lease-up costs, and large capital projects can make actual cash flow different.
- It does not include income tax, depreciation, tax deductions, appreciation, selling costs, closing costs, or loan payoff effects.
- Expected vacancy and Management fee must each be at least 0% and less than 100%; if the rent kept is 0% or less, break-even rent cannot be calculated.
- Mortgage principal and interest is treated as a fixed monthly input. Adjustable-rate loans, escrow changes, refinancing, and late fees are not modeled.
- Negative Cash flow at your expected rent is possible and is not blocked. It means the expected rent does not cover the costs entered in this calculator.
Methodology
How the math works
The calculator first adds all fixed monthly dollar amounts. The Target monthly cushion is included as a cost because it is an amount you want rent to cover.
fixed_costs = monthly_mortgage_pi + monthly_tax_insurance + other_monthly_costs + hoa_monthly + maintenance_reserve + owner_paid_utilities + fixed_management_fee + cash_cushion
itemized_optional_costs = hoa_monthly + maintenance_reserve + owner_paid_utilities + fixed_management_fee + cash_cushion
Percent inputs are converted to decimal shares by dividing by 100. The rent kept after vacancy and percent management fees is calculated as a share of scheduled rent.
effective_collection_rate = (1 - vacancy_rate / 100) * (1 - management_fee_rate / 100)
The break-even rent is the scheduled monthly rent needed before vacancy and percent management fees. It divides fixed monthly costs by the effective collection rate.
break_even_monthly_rent = fixed_costs / effective_collection_rate
Cash flow at the expected rent keeps the sign. A positive number means the expected rent covers the included costs. A negative number means a shortfall.
cash_flow_at_expected_rent = expected_monthly_rent * effective_collection_rate - fixed_costs
The extra rent needed for vacancy and percent fees shows how much higher scheduled rent must be than fixed costs because not all scheduled rent is collected or kept.
extra_rent_needed_for_vacancy_fee = break_even_monthly_rent - fixed_costs
Mini example
Suppose Expected rent is $2,400, Mortgage principal and interest is $1,300, Taxes and insurance is $350, Other monthly costs not listed below is $150, Maintenance reserve is $200, Expected vacancy is 5%, and Management fee is 0%. Fixed monthly costs are $2,000. The effective collection rate is 95%, so the Monthly rent needed to break even is $2,000 / 0.95 = $2,105.26. Cash flow at your expected rent is $2,400 * 0.95 - $2,000 = $280.00 per month.
